Terms & Conditions

Thank you for allowing us to photograph your school, league, or athletics program. It’s a privilege to photograph you or your son/daughter at our upcoming event. Please read through our terms & conditions, which outlines our process and let us know if you have any questions prior to placing your order. You are also welcome to contact us at any time if you have any questions or concerns, as we want to make sure the process runs smoothly for everyone.

By ordering your photos from us:

• You authorize us to take both individual and team photos of you/your athlete, both candid and posed, during our scheduled photo shoot.

• Although we will likely take many photos per athlete, we will select he best 2-4 photos, edit, and deliver those photos. We do not make all photos we took available, as we choose only the best quality and discard the ones out of focus or have other issues.

• After our shoot, it will take us approximately 1-2 weeks to edit all the photos. We edit each one individually and this takes time. Please be patient during this process as we’re working as quickly as we can to deliver your photos.

• Once the photos are edited, they will be placed into a private photo gallery where you can view and download your photos. You may also order prints from this gallery if you wish at an additional charge. Your fee paid for the shoot is a “sitting fee” which covers our costs for taking the photos. Your fee also includes digital files that you may download.

• All team and individual photos are shared in the same photo gallery, which means everyone on the team will be seen together in this gallery, and and visitors can view and download all the team and individual photos. If you wish to not have your photos appear in the gallery, please let us know and we will not add your photos to the team/league gallery and email them to you directly instead. All galleries, views and downloads are password-protected and logged, specific to your school/league/program.

• Photos will be online for approximately 6 months after the shoot. Please download your photos before the gallery expires, as they may or may not be available from us beyond this date.

• Your school, sports program, and/or ICON sports photography may use your images in newsletters, flyers, online postings, or websites to promote your or other photo shoots/media days. Please let us know if you prefer that your photos not be used by us; your school or program should also be notified separately as they have their own policies/process for this. Your photos will never be sold to a third party, stock photo service, etc.

• In the case of technical errors, scheduling problems (on your end or ours), loss of files, equipment problems, or other unforeseen circumstances, we will refund your purchase price for the shoot. We are not responsible for rescheduling make-up days, complimentary photos or packages, or other expenses associated with the photo shoot beyond the sitting fee (described above).
